Creating and Managing Glossaries

Ensure consistent spelling for names, brands, and technical terms across all your projects. Glossaries act as a custom dictionary, allowing you to define specific 'find and replace' rules for Inwista.

1. Create a New Glossary

Navigate to the Glossaries tab in the top menu. Click the + New glossary button, then enter a name and optional description for your list.

2. Add Words & Phrases

Open your new glossary and click the New entries button in the top right. You have two methods for adding terms:

  • Add entries manually: Input words one by one. On the rare occasions Inwista might misinterpret a unique term, simply enter the 'Word to replace' and the correct 'Replace with' spelling here.
  • Import from file: Upload a CSV or Excel file to bulk-import a long list of terms instantly.

3. Configure Match Precision

When adding an entry, use the Exact toggle to control how strict Inwista should be when replacing text:

  • Exact On: Preserves specific casing (e.g., ensuring 'iPhone' is not corrected to 'Iphone').
  • Exact Off: Case-insensitive. Inwista will adjust the casing (lowercase/capitalized) based on the context of the sentence.

4. Apply to a Project

Your glossary is not active by default; you must select it during the upload process.

  • Select Glossary: When creating a + New project, navigate to step 3 (Refine). Select your created list from the Glossary dropdown menu before starting the transcription.
