Randi Labs AS ("us", "we" or "our") operates the website www.inwista.ai (the “Service”). We are committed to ensuring that you can trust us and the way we process your personal data. In this privacy policy, we explain why we collect information about you, how we use this information, and how we safeguard your privacy.
Personal data refers to information and assessments that can be linked to an identifiable individual. This may include, for example, name and contact information, purchase history, or information about interests.
The use of personal data must comply with applicable data protection legislation. As the data controller, we ensure that personal data about you is used in accordance with the law.
What personal data we have about you
When you use our Service, we ask you during registration to provide certain personal data that can be used to contact or identify you (“Personal Data”). These are the types of data we store about you:
- 1. Information about you: Information you provide when creating an account, such as first name, last name, phone number, and email address. You may also choose to give us additional information about yourself, such as address, postal code, city, and country.
- 2. Uploads: We store all text, audio, and video that you upload through the Service. This information is only accessible to you and to those you choose to share it with.
- 3. Payment information: We use Stripe as a third-party solution to process payments, and therefore we do not store any card information directly with us. You may at any time log in to our customer portal at Stripe to view and update your payment information, as well as see what information is stored about you.
- 4. Communication: Information you provide when contacting our customer support, such as emails exchanged between us or conversations conducted through our live-chat widget.
- 5. Information about your use of the website: Data we collect when you use our website and app, such as the type of device you use (e.g., mobile phone, tablet, or PC), your last activity, IP address, and which features you use.
- 6. Profiling information: Information and inferences we generate automatically based on the data (mentioned above) that we have about you, such as interests, preferences, and demographic indicators, unless you have not given consent for this.
What we use your personal data for
We use your personal data for the following purposes:
- 1. Website and Service: We use your information to tailor the content of our Service and website based on the type of device you use (laptop, mobile phone, or tablet), as well as to determine the role, permissions, and functionalities you should have access to on the platform.
- 2. Registration: Because Inwista is an online service with many users, we need to verify your identity. We use this information to grant you specific access using your email address and password.
- 3. Customer service: We store message logs from emails exchanged between us, as well as conversations from our live chat, in order to provide the best possible service and further strengthen the customer relationship.
- 4. Statistics and monitoring: To continuously offer you the best user experience, we use third-party solutions to track visitors and understand how they navigate our site, enabling us to detect errors and make improvements. This data cannot be directly linked to you as an individual, but uses IP addresses as a reference.
- 5. Marketing: We use your contact information to send you recommendations and updates regarding our Service, unless you have opted out of receiving such communications.
Legal basis for processing personal data under the General Data Protection Regulation (GDPR)
If you are located within the European Economic Area (EEA), we have a legal basis for collecting and using the information described in this privacy policy. We may collect and process your personal data because:
- 1. You must accept the agreement prior to registration.
- 2. You have given your consent for us to collect the data.
- 3. The processing is not overridden by your rights.
- 4. We must comply with legal obligations.
Who we share your personal data with
To deliver and improve our Service, as well as provide you with the best possible user experience, we make use of selected third-party providers and our own internal systems. We are committed to ensuring that your personal data is processed securely and in accordance with applicable data protection legislation.
As a user, you are responsible for the content you choose to upload. You are solely responsible for ensuring that the material you upload complies with applicable laws and regulations, and that it respects licenses, third-party rights, and Norwegian law.
Randi Labs AS does not share the data you upload with anyone other than those you explicitly choose to share it with. If you wish to share content with others, you must manually set a file to Shared, which makes the file accessible only to users within the same workspace if multiple licenses are connected. You are free to share any processed material (e.g., audio, video, or text) with anyone you wish once you have downloaded it.
- Speech-to-Text Infrastructure: Randi Labs AS utilizes a dedicated and isolated server environment hosted within the Google Cloud Platform (EU) and fully managed by us to deliver our transcription services.
- Transcription Data Privacy: All audio is processed using self-hosted versions of the Whisper model. Your audio, video, and text data never leaves our controlled environment, is never shared with external third parties, and is not used for model training.
- AI Intelligence & Generative Processing: For features like summarization and generative AI (including the creation of text, audio, images, or video), we utilize advanced models through the Google Vertex AI enterprise platform, ensuring processing stays entirely within our secured EU environment.
- Data Governance & Isolation: Your data is never shared with the public services of AI model providers (such as Anthropic or Google). In accordance with Google’s enterprise privacy standards, your data is used solely to provide the Service and is never used to train or improve the underlying models.
- Advertising measurement: If you accept marketing cookies, we share a securely hashed version of your email address with Google Ads so we can measure whether our advertising leads to sign-ups. The hashing happens in your browser, so Google never receives your address in readable form, and nothing is shared if you decline marketing cookies.
Data Ownership
All data you upload, modify, or download through Inwista remains your property, and Randi Labs AS claims no ownership over this material. You retain full ownership of all content produced through the Service for all time, and Randi Labs AS has no rights to use this content without your explicit written consent.
How long we store personal data
We store your personal data for as long as necessary to fulfill the purpose for which it was originally collected, or for as long as we are legally required to retain the information. All data and information will be deleted or anonymized once it is no longer necessary to keep it. Below is an overview of how long we store your information:
- Information about you: If you have registered a user account with us, all data linked to the account is automatically deleted after 12 months of inactivity. You will receive an email notification informing you of this in advance.
- Purchase information: We never store any purchase information directly ourselves, only the details provided to us through Stripe. This includes customer ID, session ID, subscription ID, and the date of purchase. In other words, no card information whatsoever. This information is deleted along with other data after 12 months of inactivity.
- Use of the Service: We store information about your use of our services for up to 6 months.
- Partners/third parties: We store information from partners for as long as you have given consent, or as long as you have an active account registered with us. This information will be deleted after 12 months of inactivity.
- Communication: We store communication with our users and customers for three years, unless we need to retain it for a longer period in connection with, for example, a complaint or a claim.
- Profiling information: If you have registered a user account with us, this information is deleted when you delete your account or if it has been inactive for 12 months. If you wish to have this information deleted earlier, we will do so upon request.
Your rights
You have the right to request the following from us:
- A copy of all personal data we have stored about you.
- More information about how we process your personal data.
- Updates to your personal data.
- Deletion of personal data that we no longer have a legal basis to retain.
- That we stop or restrict the processing of your personal data.
- To object to automated individual decisions, including profiling.
- To receive the data you have provided to us in a structured and readable format.
- To withdraw any consents you have given us regarding the storage of your data.

If you believe that we are processing or storing your personal data in violation of the Data Protection Act or the GDPR, you have the right to file a complaint with the Norwegian Data Protection Authority (Datatilsynet).
